1. Who We Are
Roster Agency Ltd., Studio 4, Curtain House, 38 Scrutton Street, London EC2A 4RQ. When this policy says "we", "us", or "our", it means Roster Agency Ltd. Questions: hello@rosteragency.com
2. What We Collect
We only collect what we actually need.
When you contact us through the site, we collect the information you provide — typically your name, email address, and the content of your message. We don't ask for more than necessary.
When you browse the site, we may collect standard technical data: IP address, browser type, pages visited, and time spent. This is used solely to understand how the site is performing.
If you submit an artist for consideration, we collect the details you send — name, genre, links, location. Nothing beyond what you choose to share.
3. Why We Use It
We use your data to:
Respond to enquiries and booking requests
Assess artist submissions
Maintain and improve the site
Meet legal obligations where applicable
We do not use your data for advertising. We do not sell it. We do not share it with third parties except where strictly necessary to deliver a service you've requested — for example, a promoter in the context of a confirmed booking.
4. Legal Basis
Under UK GDPR, we process your data on the following grounds:
Legitimate interests — responding to enquiries, operating the site
Contractual necessity — where a formal engagement is in place
Legal obligation — where required by law
Consent — where we've explicitly asked for it
5. How Long We Keep It
We keep enquiry and contact data for up to 24 months unless an ongoing relationship requires otherwise. Artist submission data is kept for 12 months. Technical site data is retained for no longer than 90 days.
When data is no longer needed, we delete it.
6. Cookies
This site uses a minimal number of cookies — functional cookies required for the site to operate, and analytics cookies to understand traffic patterns. No advertising or tracking cookies are used.
You can manage or disable cookies through your browser settings at any time. Some parts of the site may not function correctly if cookies are disabled.
7. Your Rights
Under UK GDPR you have the right to:
Access the personal data we hold about you
Correct inaccurate data
Request deletion of your data
Restrict or object to how we process it
Receive your data in a portable format
Withdraw consent at any time where consent was the basis for processing
To exercise any of these rights, contact us at hello@rosteragency.com. We will respond within 30 days.
If you're not satisfied with our response, you have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.
8. Security
We take reasonable technical and organisational measures to protect your data. No method of transmission over the internet is completely secure, but we take this seriously and review our practices regularly.
9. Third-Party Services
We use a small number of third-party tools to operate the site — including hosting and analytics. These providers are selected carefully and are required to handle data in accordance with UK GDPR. We do not permit them to use your data for their own purposes.
10. Changes
We may update this policy from time to time. The date at the top reflects when it was last revised. Continued use of the site after changes are posted constitutes acceptance of the updated policy.
